Guidelines for presenters

General

  • Chairs have been appointed to all sessions. They will oversee the dynamics of the session.
  • A screen, projector and PC will be available in each room. If you need special adapters for your own computer (especially for Mac users), make certain to bring them yourself.
  • Please note that all projectors use HDMI cables.
  • Please note that it is not possible to download software on the laptops! If you have to download software for your workshop or session, please bring your own laptop with (adapter to) HDMI connection.
  • If you wish to use handouts, it is your responsibility to provide enough copies. For most sessions, 100 will be plenty.
  • We recommend coordinating audiovisual materials with the session chair and other presenters to minimize the transitions from one laptop to another.
  • Please make sure to hand in your presentation on USB at the session chair, 30 minutes before the start of the session!

Pre-conference workshop presenters

  • You can register at the conference and pick up your badge on Monday July 8 and Tuesday July 9 after 8 am.
  • Please check the time and place of the workshop on the conference program, and please arrive at least 30 minutes before the starting time.
  • A screen, projector, and PC will be available in each room. If you need special adapters, your own computer (especially for Mac users), be sure to bring them. Please note the cables for the projectors are all HDMI!
  • If you need extension cords for the workshop participants, please bring them as well.
  • Coffee & tea will be served in the central catering area on Plein 6 (for the workshops in TivoliVredenburg). The workshops on the Drift will have coffee/tea in their meeting rooms.

Poster presentations

Poster sizes

  • Please make sure your poster is no bigger than A0. The posters will be placed vertically, so that they should be no wider than 96 cm (37,8 inches) and no taller than 121 cm (47,6 inches).
  • If you would like to place your poster horizontally, please let us know before 1 June 2019  by sending an email to dh2019@caos.nl.

  • It is your own responsibility to hang your poster. This should be done on Wednesday 10 July 2019, between 10:00 and 12:00 at TivoliVredenburg.
  • Please find your poster number via this link (poster board numbers). Floor plan 1 and Floor plan 2 indicate the placing of all poster boards. We will number the boards so that you easily find your own. There will be tables with material for putting the posters up.
  • If you would like to present your work with a laptop, you can do this at one of the tables / seats that are available in the catering area.
  • Please print your poster number and paper ID on your poster! To help people who are interested in your work to contact you, consider adding your e-mail address too.
  • Please note that the Local Organizers of DH2019 cannot be liable for any damage to or loss of posters.

Printing your poster

  • There are several establishments where you can print your poster. Please see the map.

Poster session

  • Your posters will be hung in the central part of the venue, so that it will be visible throughout the conference programme on Wednesday, Thursday and Friday. The formal poster session will take place on Thursday 11 July 2019, from 15.30-17.00.

Best poster award

  • The Utrecht Centre for Digital Humanities will present three Best Poster Awards on behalf of Gale during the closing ceremony on Friday, 12 July 2019.
  • All delegates are invited to cast their vote!
  • More information about the Best Poster Award can be found here.
  • Please remember to print your poster number and paper ID on your poster, in order to identify your poster to the members of the jury.

Long paper presentations

  • Individual presentations must not be longer than 20 minutes.
  • The chair will open Q&A after each presentation for a further 5-10 minutes.
  • Please make sure to hand in your presentation on USB at the session chair, 30 minutes before the start of the session!

Short paper presentations

  • Individual presentations must not be longer than 10 minutes each.
  • The chair will either open Q&A after each presentation for a further 5 minutes.
  • Please make sure to hand in your presentation on USB at the session chair, 30 minutes before the start of the session!

Panel sessions

  • Panel organizers and presenters are in charge of equitably distributing and coordinating time for each speaker.
  • Please allow plenty of time for Q&A; the norm is about 30 minutes of discussion in each session,
  • Please make sure to send in your presentation to dh2019@caos.nl before 1 July!

Remote presentations

  • Speakers not able to attend in person are invited to record their presentations to insure maximum fidelity in case of network fluctuations. The video will be played during the assigned session. Please send your recorded presentation to your panel organizer (if you’re part of a panel session), or to the Program Chairs <dh2019@adho.org> (for short and long papers) no later than Friday, June 21.
  • Remote speakers are encouraged to be present via Skype, Google Hangouts, etc., for the duration of the session, and especially during the Q&A. When you send your recorded presentation, please coordinate the details for live remote communication with either the panel organizer or the PC chairs.
